How Long Do Tax-Free Childcare Payments Take?

A Tax-Free Childcare payment has two stages: money first reaches your childcare account, then you send the available balance to your provider. GOV.UK gives a different expected time for each stage, so paying on the invoice due date can be too late.

When does the government top-up appear?

GOV.UK says money you add by Direct Debit, standing order or bank transfer will usually appear in the childcare account within one working day. The government contribution is added at the same time. You do not need to make a separate top-up request.

The top-up is £2 for every £8 you pay in, subject to the remaining limit for that child's three-month entitlement period. If the amount is smaller than expected, first check how much quarterly allowance you have already used.

How early should I pay my nursery or childminder?

Leave enough time for both stages. A sensible routine is to add money several working days before the bill is due, wait until the full cleared balance and top-up are visible, then send the provider payment. Leave longer for payments over £2,000 or around a bank holiday.

If your bill is predictable, a standing order can reduce the chance of forgetting the first stage. You still need to make or schedule the provider payment from the childcare account and keep your three-month eligibility reconfirmation up to date.

Why is my Tax-Free Childcare payment pending?

  • A working day has not yet passed since you paid into the account.
  • You have initiated the provider payment before all of the balance shows as cleared and available.
  • The provider payment is over £2,000 and is following the longer processing window.
  • A weekend, bank holiday, bank check or temporary service problem is slowing the transaction.
  • Your provider's bank details or Tax-Free Childcare registration have changed.

What to check if the provider cannot see the payment

  1. Sign in and confirm the payment status, date, amount and selected provider in your childcare account.
  2. Give the provider the unique child reference shown for the payment. GOV.UK says this reference appears on their bank statement and helps them match the money to your child.
  3. Check whether the published 24-hour or 3-to-5-working-day window has fully passed.
  4. If it has, check the official service-status page and contact the Childcare Service rather than sending the same bill again without advice.

How much should I put into the account?

If you have no existing balance and enough top-up allowance left, you would normally add 80% of the eligible provider bill. For a £500 bill, that is £400 from you and a £100 government top-up.
